Cancellation and Rescheduling Policy

This cancellation policy explains what happens if you need to cancel, reschedule or transfer a place on a SoMUK mesotherapy training course, how much notice you must give, and what refund applies. Please read it before you book.

1. Who provides the training

Course fees are collected by the Society of Mesotherapy of the United Kingdom (SoMUK) on behalf of PHP Training Academy, a branch of PHP Health First Ltd (company number 07008563), which provides the training.

Your contract for the training is with PHP Training Academy.

2. How to cancel or reschedule

Cancellation and rescheduling requests must be made by email to corine@somuk.co.uk.

We cannot accept cancellation or reschedule requests by telephone or WhatsApp, as we require a written record of the date on which the request was made. The date we receive your email is the date used to calculate any refund.

3. Confirmation of your booking

A training course registration is not confirmed until registration is complete and billing information has been received in full.

4. If you cancel

Refunds are calculated by reference to how much notice you give before the scheduled course date.

Notice given before the course date Refund of course fees paid
More than 60 calendar days Full refund No deduction
Between 60 and 30 calendar days 75% refunded Up to 25% may be retained to cover administrative costs and costs already incurred in connection with the booking
Between 29 and 14 calendar days 50% refunded Reflects costs already committed at this stage
Less than 14 calendar days No refund will normally be provided Significant costs will usually already have been incurred, and it may not be possible to fill the place at short notice
Non-attendance without prior written cancellation No refund; the course fee remains payable Please tell us in advance if you cannot attend

Any amount retained will be limited to the reasonable costs and losses that result directly from the cancellation, taking into account any reasonable steps available to us to reduce those losses.

5. Rescheduling

Where sufficient notice is given, delegates may ask to transfer a booking to another available course date, instead of cancelling.

Rescheduling is subject to availability, and may be subject to reasonable costs already incurred in connection with the original date, including venue, trainer or model costs.

6. Substitution — sending a colleague in your place

Instead of cancelling, you may transfer your place to another delegate. There is no charge for this.

The substitute must meet the entry requirements for the course. Please tell us in writing as early as you can, and give us their details and evidence of their qualifications, registration and indemnity insurance in good time so that we can verify eligibility before the course begins. We may decline a substitution where the entry requirements are not met.

Where a substitution is accepted, the original payment is applied in full to the substitute’s place and no cancellation charge arises.

7. Deposits and part-payments

Where a deposit or part-payment is required to secure a booking, the amount and the payment schedule will be stated clearly at the time of booking.

Any refund of a deposit or other payment is dealt with under section 4 above. Where a cancellation occurs, any amount retained will be limited to the reasonable costs and losses directly resulting from that cancellation.

8. If we cancel or reschedule

In exceptional circumstances, SoMUK and/or PHP Training Academy may need to cancel or reschedule a course, including where circumstances arise that are beyond our reasonable control.

Where a course is cancelled and the training has not been provided, you will be offered the choice of:

  • a full refund of all course fees paid; or
  • a transfer to another available course date of your choice, subject to availability.

No administration or cancellation fee will be deducted from a refund where the course is cancelled by us.

Where you choose to transfer to another date, the original payment will be applied in full to the replacement date.

We will make reasonable efforts to give as much notice as possible of any cancellation or rescheduling.

We are not responsible for travel, accommodation or other costs you incur as a result of a cancellation or change of date. We recommend that you insure against these.

9. Consumer cancellation rights

Most delegates contract with us in the course of their profession. Where you are contracting as a consumer and enter into a distance contract, you may have a statutory right to cancel within 14 calendar days under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013.

Where a course is due to begin before the end of that 14-day period, we will ask you to confirm expressly that you wish the training to begin before the cancellation period has expired.

If you make that request and then exercise your statutory right to cancel before the training has been fully performed, you may be required to pay a proportionate amount for the training already provided up to the date on which you notify us.

Where the course has been fully performed following your express request, you may lose your statutory right to cancel, provided you acknowledged this before the training began.

Declaration — to be included on the booking form where a course begins within 14 days

I expressly request PHP Training Academy to begin providing the training before the expiry of my 14-day cancellation period. I understand that if I cancel after the training has begun, I may be required to pay for the proportion of the training already provided, and that I may lose my statutory right to cancel once the training has been fully performed.
